Eagle Ray is seeking an executive level Administrative Assistant to provide support to executive level managers at Mount Weather Emergency Operations Center (MWEOC).


  • Provide day-to-day administration support to the executive level management staff to include:
    • Executive-Level Calendar Management  Manage and maintain schedule, meeting, and travel.
    • Prepare daily read-ahead binder.
    • Arrange and coordinate meetings and events. (to include coordinate schedules, reserve meeting venues, update presentations, ...)
  • Monitor, screen, respond to, and distribute incoming and outgoing communications.
  • Liaison to both internal and external staff at all levels.
  • Tracking Action Items and other items as requested.
  • Establish office administrative process and procedures; identify areas for improvement
  • Manage executive level documentation utilizing MWEOC identified tools (SharePoint and/or share drives)
  • Other duties, as assigned.




  • Bachelor’s Degree with 5 yrs. of experience, or Associate’s Degree with 8 yrs. of experience.
  • Min. 3 yrs. experience working in executive-level office environment.
  • Experience in developing office processes and procedures.
  • Must be a US Citizen.
  • Min. Clearance level: Top Secret with SCI.
  • Proven experience directly supporting an office environment with senior leadership personnel serving in the grades of SES/DISL or at the Flag Officer level.
  • Strong working knowledge of office information technology (IT) equipment (e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference/video teleconference equipment).
  • Strong working knowledge of MS Office software applications; including Word, Excel, PowerPoint, SharePoint.
  • Perform data entry and maintenance of stored data/records in established databases, spreadsheets, and other electronic data/record tracking and repository systems.
  • Assist with the preparation of materials needed for travel.
  • Support the creation of Staff Summary Sheets (SSS) and staffing documents for review and/or signature.
  • Establish and maintain both hard-copy and computer based filing systems, to include performing routine filing of various office data/records files.
  • Excellent written and verbal communication skills.
  • Strong interpersonal, management, and organizational skills.



  • Working knowledge of FEMA’s administrative processes and business rhythms.
  • Ability to schedule, coordinate, set-up, and operate Video Teleconference (VTC) equipment.
  • Working knowledge of SharePoint.
  • Working knowledge/understanding the Government’s Joint Travel Regulation (JTR).
  • Proficient working knowledge of FEMA’s corporate application for suspense filing and tracking.
